I would suggest an online conference using Fuze on a Saturday morning. This will allow anyone to participate and no need for travel. This is tool is free for up to 25 participants.

Hi Stephen,
I'm open to suggestions! We have time to organise something, so if we set aside a time that worked well in advance, those that wanted to attend could probably make it happen. If it were enough notice, would a weekend work do you think? Happy to hear some other options if you have them (at least if the cost of a conference is removed from the equation, it can become a little easier for those that have to travel).

I would also like to attend but wondering how we could organise an un-conference for humble folk from the bush like me. Yes technology is an option but, would be great to be there in person,
