Initial Screen


After initial opening of Microsoft Access, the following screen appears:




Opening the Form


After opening the database, a list of tables, forms, queries and reports appears.

Form Screen


Once the form is accessed, you may enter data in the following screen.

Each line has different entries. The next part of this section will describe how to create and edit entries.




You must enter data in each field in order to finish the entry.

Quote number: A unique identifier for the quote. It is in the format of a letter, followed by three numbers.

Customer ID: A unique identifier for the customer who requested the quote. Can be selected through dropdown box.

Roof Size (sq m) : Total roof size (area) in square metres.

Cost of materials: The cost of the roof materials in Australian dollars.

Cost of labour: The cost of labour in Australian dollars.

Job date: The date you have entered for the job to be done.

Account paid: After information has been entered, you may go back to this quote at any time and tick this when the customer has paid the above costs.


Creating and Editing Entries


Once you fill out the information on your current entry, you may want to make multiple entries for quotes. The following buttons will help you create, edit, and change between entries.




(1): Selects and allows you to edit the very first quote which has been input.

(2): Allows you to access the next entry in the quotes data table. If there is no next entry, then it will automatically create one for you.

(3): Selects and allows you to edit the very last quote which has been input.

(4): Creates a new entry in the quotes data table.


Finalising Entry


Once you are finished with the data entry, you may exit access safely. However, you may want to save to see if your entires have been valid (if not, you will be prompted with an error message which will inform you as to how to fix an entry). To do this, you may use the shortcut Ctrl+S to save, or you may right-click the "Quotes" tab just above the entry forms to bring up the save option, as depicted in the following image:
